Outdated versions

Safety data sheet management for businesses
A QR code on every hazardous substance. Anyone who scans it with a phone immediately sees the valid safety data sheet and the key emergency notes. Multilingual, no app and no login. We take care of keeping it up to date.
From audit practice
Whether it is an internal audit to ISO 45001, a supplier audit or a visit from the occupational safety authority: when it comes to hazardous substances, things almost always go wrong in the same three places.
The binder holds the sheet from 2014. The manufacturer has revised it three times since, but nobody noticed.
The data sheet sits somewhere on a network drive. Whoever is standing in the workshop and needs it in an emergency cannot get to it.
Which products are stored where, and which of them lack a data sheet? Answering that usually takes longer than the audit.
Chemicals law requires that your employees have access to the safety data sheets of the substances they work with (EU-wide under REACH Article 35, in Germany also under the Hazardous Substances Ordinance). That is exactly what gets checked.
Features
Your staff have access to the current version at any time and from anywhere. We monitor the data sheets continuously and get in touch when something changes. You keep the overview without touching a binder.
Every product gets its own code for your business. The labels come as a print-ready sheet, all you need to do is stick them on.
Eyes, skin, inhalation, swallowing, fire, first aid, disposal: the key statements as buttons above the document. In an emergency nobody has to leaf through section 4.
A new issue replaces the old one behind the same code. An older version can never displace a newer one, the system prevents that by itself.
Every sheet is checked regularly against the manufacturer's latest version, and every check is documented. Anything not checked for over a year stands out.
If the manufacturer supplies the data sheet in several languages, for example German, English, Polish or French, all versions sit behind the same QR code. The display starts in the language of your site.
Every access is logged and older versions remain in the archive. You show the auditor not only the current sheet but also since when it has been valid.
Storage locations, containers, goods receipt: you can see which product is where. On request, this becomes your hazardous substances register, referring to the currently valid data sheet.
One e-mail on working days, only when there is something to report: what is waiting for you and what has newly been released. The label sheet comes attached.
What has changed compared with the previous version, and what does it mean for you? The important differences summarised, with concrete recommendations for action.
How it works
Upload an Excel or CSV list or enter products one by one. Manufacturer and product name are enough to start with.
We match every product to the right safety data sheet, obtain missing sheets and check them before release.
You receive a sheet with all the QR codes. Print, apply to the container, done. From now on a phone is all it takes.
New versions are added and checks documented. You learn by e-mail what has changed.
Why we do this
The portal is designed to make complying with hazardous substances and occupational safety rules as easy as possible in everyday work. You see potential audit findings before the auditor does: missing data sheets, overdue checks, products without a match.
Because all documents are held centrally and are immediately available at the workplace, you save time and significantly reduce the risk of violations. You invest in the safety of your staff and in your company's compliance. And a tiresome obligation turns into a process you no longer have to worry about.
Frequently asked questions
No. Every smartphone camera recognises the QR code and opens the safety data sheet directly in the browser. Only the people who maintain products and lists need to log in.
The code only works while your account is active, and every access is logged. If a code is used conspicuously often outside your premises, it can be blocked and reissued.
We do. You send us your product list, we match each product to the right data sheet and obtain missing sheets. If you already have a sheet, simply upload it yourself. Nothing is released until we have checked it.
After our check, the new version appears behind the same QR code. The old one remains available in the archive and is clearly marked as superseded. You do not need new labels for this.
In the languages in which the manufacturer supplies the safety data sheet, for example German, English, Polish, French or Spanish. The display starts in the main language of your site and can be switched with a single tap.
On a dedicated server in the EU. There is no tracking, no advertising networks and no disclosure to third parties. Only your business can see which products you use.
Yes. On request, a hazardous substances register is created from your products, sites and stocks, referring to the valid safety data sheet for each substance. Register and data sheets are then kept in one place and stay up to date together. The risk assessment remains your responsibility.
@bout quality from Lüneburg, Germany. We are IRCA-registered lead auditors and have been auditing management systems to ISO 9001, ISO 14001 and ISO 45001 for more than 20 years. The portal grew out of exactly these audits, where outdated or missing safety data sheets are the most common finding. More about us at about-quality.de.
That depends mainly on the number of your products. Tell us roughly how many there are and you will receive a specific quotation.
